How we produced the Asia Matters Virtual Summit 2020

 
 
 
 
 

The Asia Matters team wanted to deliver a world class virtual summit to a global audience so we setup a virtual event platform to deliver an experience that would be fitting of the guest speakers which included The President of Ireland, Michael D. Higgins; An Taoiseach, Micheál Martin; The Lord Mayor of Dublin, Hazel Chu and the Indonesian Minister of Research and Technology/National Research and Innovation, Bambang Brodjonegoro.

The virtual event ran over 2 days with 52 speakers from 32 different countries. Over 500 attendees were able to participate across the main stage, networking, sponsor booths and seminars across the global broadcast.

The Remarkable Experience 

The success of the conference was down to the quality of the content and the enhanced attendee experience. 

We used the Hopin event platform to deliver a professional experience from start to finish for all attendees. The custom design and branding allowed Asia Matters to stand out and create cut through among potential attendees. 

Beyond the impressive speaker line up it was essential that we delivered quality content from our own studio. We worked with the Asia Matters team to deliver the full AV experience and further we worked with Asia Matters Executive Director & Co-Founder, Martin Murray, with a series of media training sessions to allow for clear and concise delivery throughout the 2 days. 

We delivered content from 52 speakers over the 2 days with full studio and remote production delivered by our in house team. We prepped all speakers in advance and ensured that there were no technical difficulties throughout the event.

Attraction 

A suite of visual assets and social media content was developed to promote the conference to the target audience in advance of the live event. The client had a target of 500 attendees, so we developed a marketing outreach plan to exceed this objective. 

We developed a suite of pre-event communications within the Hopin platform that allowed for effective pre-event communications with registered guests. The regular email communications kept attendees engaged with the conference in advance of the live experience. 

We continued to promote the event through all Asia Matters paid, earned and owned channels. 

Live 

We managed all creative, production and administrative elements of the 2-day live production and rehearsal sessions. 

We utilized the in-house video production studio within the Honey+Buzz creative studio to deliver the overall production. 

All speakers attended pre-event tech training and key speakers were provided with media training from our expert media training facilitator to allow for the smooth running of the event on the live days. 

Amplification 

All segments of the conference were made available to attendees' post-event and can be found on the https://www.asiamatters.eu/ website. 

Attendees were given the option to watch the conference on demand.  

The Impact 

  • The flawless live production of the conference meant that this was the most successful Asia Matters Summit to date. 

  • We exceeded the target attendance of 500 people and were oversubscribed by Day 1 of the conference. 

  • The virtual event ran over 2 days with 52 speakers from 32 different countries
